How To Create A Drop Down List In Word 2019

I. Overview

Drop-down list can be used for data verification in Feishu. A drop-down list in a table can limit the inputs to specified values to ensure data normalization. The drop-down list can be single option or multiple options to add one or more tags to the information. You can also set the color of each option to give your table a more elegant look.

II. Procedures

Create a drop-down list

Select the cell range you want to add a drop-down list to, and click More > Dropdown in the toolbar to set the options in the pane that appears.

Drop-down list type

  • Single option drop-down list : A drop-down list that allows you to select only one option.
  • Multiple options drop-down list : A drop-down list that allows you to select multiple values in a cell.

  • Switch between single option and multiple options : Select Single option or Multiple options in the selector at the top of the pane to switch between them.

Note : Once you change a multiple options drop-down list to a single option one, the system will show only the first option in the cell, and all other options will be removed automatically.

Batch input options

  1. 1. Select your cell range, go to the toolbar, and click More > Dropdown . In the upper-right corner of the panel, select More settings .
  1. 2. There are two methods to batch input options:
  • Custom options : Under Source , select Custom and enter the options. Use enter or a comma to separate the choices.

  • Refer to other data : Under Source , select From a range and click the icon. Then, drag and select the cell range you want to refer to data from. (Please proceed with caution when deleting or modifying referenced data)

  1. 3. Check or uncheck the Show arrow for dropdown list option and click Confirm in the lower-right corner to save your settings.

Edit or modify a drop-down list

Select the drop-down list you want to edit in the sheet, and click More > Dropdown in the toolbar to edit the options.

  • Modify the drop-down options : You can modify the option values in the input boxes directly.
  • Add an option : Click Add an option on the lower-left corner of input boxes.
  • Remove an option : Click the Trashcan button on the right side of each option.
  • Change option order : Press and hold the six-dot Move button on the left side of each option and drag the option up or down to the desired location.
  • Set option color : Select Option color at the upper-left corner of an input box and the background color of the option will be displayed on the left side. You can click the small triangle at the center of the colored area to change the color.

Note : You can't add repeated drop-down options, and drop-down options can't contain English commas as English commas act as separators between options. Inserting an English comma in an option can affect data verification.

Batch modify drop-down options

When multiple cells contain the same drop-down lists, you can select any one of them to batch modify all of them in the same sheet with one click.

Select a cell in a sheet, and click the drop-down list pane in the toolbar to edit the drop-down list of the cell. After you've made the modification, check Apply to exact same drop-down lists at the bottom of the pane, and all the same lists in the sheet will be selected. Click Confirm in the lower-right corner of the pane, and the same drop-down lists in the current sheet will be updated as well.

Note : Only the drop-down lists with the same type (single-select or multi-select), option values, and option order will be regarded as the same.

If the option value you just modified already exists in the cell, you'll be asked on whether to update the filled drop-down options in the table after you click Confirm . Click Apply , and any filled option values in the cell will be updated to the value after the modification. If you select Don't Apply , the filled option values will be retained in the cell, and a red mark will appear on the upper-right corner of the cell, reminding you that the value in the cell doesn't match the specified value.

Select a drop-down option in a cell

You can double-click on a cell or click the small triangle on the right side of a cell to expand the drop-down list and select an option.

Find an option value

The search feature can help you quickly locate the option value you need.

Select a cell and enter the option keyword you need. Relevant option values will appear in the search results. You can click on a value to fill it into the cell.

If the desired result doesn't appear in the result list, it means that the option value you search for isn't included in the drop-down list. In this case, you can click More > Dropdown in the toolbar to add an option in the pane.

Remove a drop-down list

Select the cell you want to remove the drop-down list from, and click More > Dropdown in the toolbar. Then you can click Remove Dropdown on the lower-left corner of the pane to remove the list. Once you remove a drop-down list, the first option value in the cell will be retained.

Alert and help text

Select your cell range, go to the toolbar, and click More > Dropdown . In the upper-right corner of the panel, go to More settings > Alert and help text .

Here, you can set an alert for When data is invalid and the help text that appears When cell is selected .

Set error alerts

  • Under When data is invalid , select Show alert to allow users to enter content other than the available options, which could be used as remarks.
  • When you enter content other than the available options, an alert will indicate that the data is invalid. Simply press Enter or click other areas to save the content entered.
  • If you need to select an option from the drop-down menu, click its arrow to expand the list.

  • Under When data is invalid , select Reject input to prevent users from entering content directly into the cell. However, they can use the formula bar at the top to input content.
  • When users enter content other than the available options into the formula bar at the top, the Invalid value alert will appear and users won't be able to save the content they've entered.

Select Show help text . Enter the content of the help text in the input box.

How can I add multiple drop-down lists in a cell?

Click More > Dropdown in the toolbar and set the list type to Multiple options at the top of the pane.

Why's there a red mark at the upper-right corner of a cell that contains a drop-down list?

You can only enter the option values provided in the drop-down list in a cell to which a drop-down list has been applied. Otherwise, a red corner mark will appear to alert you to the invalid data in the cell. If the existing drop-down option values don't suit your situation, you can click More > Dropdown  in the toolbar to add options in the pane.

Why was an error prompted after I imported, searched for, replaced, or pasted a cell that contains a drop-down list? What's the adaptive multi-select format?

When you run into an error, it might be because some options include an English comma.

After the drop-down multi-select list is exported to another product (such as Excel), the drop-down options will be shown as text separated by English commas. If the list is imported to Feishu Sheets again, an error may be prompted for the drop-down multi-select list, because Feishu Sheets doesn't support English commas in drop-down option values. If you've entered an English comma by searching for, replacing, or pasting value only in a cell that contains a drop-down multi-select list, an error will also be prompted.

To remove the error in the cell, click on the cell and then Convert to multiple options in the pane that appears. The content will then be converted to multiple option values separated by English commas and automatically filled into the cell. After all options comply with the verification rules of the drop-down list, the error prompt will disappear.
